Getting started
I just signed up — what should I do first?+
Walk through the onboarding wizard (driver info, truck info, daily fixed costs). After that, head to the calculator and run a real load through it. If the numbers feel right, you know your truck profile is tuned correctly.
Where do I add more than one truck?+
Use the truck switcher in the dashboard header → + Add another truck. Or visit /profile/truck to see and manage your whole fleet.
Calculator
How is the calculator deciding TAKE / NEGOTIATE / DECLINE?+
TAKE means the load clears both your per-load profit target and your target $/mile after all costs. NEGOTIATE means it’s profitable but short of one or both — the suggested counter-offer is your “Your rate” number in the quote-range card. DECLINE means break-even or losing money at the rate offered.
What if the broker email doesn't include a rate?+
Paste the email into Quick Paste anyway. The calculator flips into “NAME YOUR PRICE” mode and gives you three numbers right in Quick Paste: floor (break-even — never go below), your rate (hits your $/mile goal), opening ask (start here, work down).
My MPG numbers are wrong for my truck.+
Edit them on your truck profile. The calculator uses MPG-loaded for loaded miles and MPG-empty for deadhead. Phase 2 of the app will learn your real MPG from fuel receipts and adjust automatically.
Maintenance
How does next-due tracking work?+
When you log a service, the form auto-suggests a next-due date and mileage based on typical owner-op intervals (e.g., oil change every 25,000 mi / 6 months). Override either if your shop recommends different. The dashboard widget shows what’s coming due within 60 days.
Do I get emails when maintenance is due?+
Yes. The reminder cron fires at 30 / 7 / 1 days before any maintenance with a next-due date. Same channel as compliance reminders (insurance, registration, DOT inspection).
Tax Center, IFTA, Receipts
What does TruckBoss do for IFTA?+
TruckBoss collects the data your IFTA filing needs: per-state miles from each load and per-state gallons from your fuel receipts. The IFTA report page rolls it up per jurisdiction and exports CSV. We don’t compute tax owed — IFTA rates change every quarter and your filing portal has them live.
What does the receipt OCR do?+
Take a photo of a receipt on the Tax Center and the app extracts amount, date, vendor, and a Schedule C category automatically. For fuel receipts it also pulls gallons and the purchase state so IFTA tracking is incidental. Review the pre-filled fields before saving — confidence is shown so you know when to look twice.
Can I export my data for my accountant?+
Yes. Tax Center → ⬇ Export CSV gives you a transaction-level CSV for the selected year (income from loads + expenses from maintenance + receipts, columned with Schedule C line refs). IFTA page exports per-jurisdiction CSV separately.
Invoices
When should I use the invoice feature vs. factoring?+
If you bill brokers direct (own MC/DOT, no factor in the middle), use Invoices. If a factoring company handles your AR, you don’t need the invoice surface — the factor cuts you a check off the rate confirmation.
How do I create an invoice from a delivered load?+
Open the load detail (/loads), mark it delivered or invoiced, click 🧾 Create invoice. The line items (linehaul, detention, lumper) pre-fill from the load’s profitability data; broker info pre-fills if the load is linked to a broker in your contacts.
How do I email or print an invoice?+
From the invoice editor, click 🖨 Print / PDF to open the printable view, then use your browser’s Print → Save as PDF. If the broker’s email is on the invoice, ✉ Email broker opens your mail app with subject + body pre-filled.
Team access
How do I add my dispatcher or a driver?+
Owner only: /profile/team → enter email + pick role → Create invite → copy the link and send it to them. They open the link, sign up (or log in), and they’re added to your team automatically.
What does each role see?+
Owner — everything (billing, financials, brokers, members).
Dispatcher — loads, brokers, maintenance, trip tracking, receipts. No billing or member management.
Driver — loads on their assigned truck, POD uploads, trip share, maintenance for their truck. No brokers, no receipts, no billing.
Why doesn't my driver see any loads?+
Assign them a truck. Owner → /profile/truck → edit the truck → Assigned driver dropdown → pick them. Drivers without a truck assignment see an empty dashboard (by design — they only see their truck’s loads).
Billing & subscription
What's the founding-member discount?+
The first batch of subscribers gets 25% off forever with code FOUNDER25 at checkout. That’s baked in for the life of your subscription, not a temporary promo.
How do I cancel?+
Visit /billing → Manage subscription. That opens the Stripe customer portal where you can cancel, update card, or change plan. You keep access through the end of your current billing period.
Can I delete my account and all my data?+
Yes — /profile → Danger zone → Delete account. Type DELETE to confirm. This cancels your subscription and removes every load, maintenance record, receipt, invoice, document, and trip permanently. Cannot be undone.
